Inviting Team Members

Add colleagues to your Vavolta workspace and manage invitations.

Overview

Invite team members to collaborate on lead magnets. Each invited person receives an email invitation and can join your workspace.

How to Invite

From Team Settings

  1. Go to Settings > Team
  2. Click Invite Member
  3. Enter the email address
  4. Select a role (Admin or Member)
  5. Click Send Invitation

Bulk Invitations

Invite multiple people at once:

  1. Click Invite Member
  2. Enter multiple emails (comma-separated or one per line)
  3. All get the same role
  4. Click Send All

Invitation Process

What the Invitee Receives

An email with:

  • Invitation to join your workspace
  • Your workspace name
  • A unique join link
  • Expiration notice (7 days)

Accepting an Invitation

The invitee:

  1. Clicks the link in the email
  2. Signs up for Vavolta (or logs in if existing user)
  3. Automatically joins your workspace
  4. Has access based on assigned role

Existing Vavolta Users

If someone already has a Vavolta account:

  • They'll be asked to log in
  • Their account joins your workspace
  • Their personal content stays personal
  • They can belong to multiple workspaces

Managing Invitations

Pending Invitations

View invitations that haven't been accepted:

  1. Go to Settings > Team
  2. See the Pending Invitations section
  3. Shows email, role, sent date

Resending Invitations

If someone didn't receive or lost the email:

  1. Find the invitation in Pending
  2. Click Resend
  3. A new email is sent
  4. Original link still works

Canceling Invitations

To revoke a pending invitation:

  1. Find the invitation
  2. Click Cancel
  3. The join link becomes invalid
  4. You can re-invite later if needed

Need More Seats?

If you need more than 5 team members:

  • Additional seats are €8/month each
  • No limit on how many you can add
  • Billing adjusts automatically when you add/remove members
  • Or contact us for Enterprise pricing

Role Selection

When to Choose Admin

Give Admin role to people who:

  • Manage the team's lead magnets
  • Need to invite others
  • Configure team settings
  • Require full access

When to Choose Member

Give Member role to people who:

  • Create and share lead magnets
  • View analytics for their content
  • Don't need team management

After Joining

New Member Experience

When someone joins:

  1. They see all team lead magnets
  2. Can create new lead magnets
  3. Can create access links
  4. View team analytics

Orientation Tips

Help new members:

  • Share naming conventions
  • Explain which content to use
  • Show them the analytics dashboard
  • Introduce team workflow

Removing Members

How to Remove

  1. Go to Settings > Team
  2. Find the member
  3. Click Remove
  4. Confirm

What Happens

When someone is removed:

  • They lose access to team content
  • Their created content stays
  • Access links they created continue working
  • Analytics data is preserved

Their Account

After removal:

  • They still have a Vavolta account
  • Downgraded to Free plan (if not in other teams)
  • Can be re-invited later

Troubleshooting

Invitation Not Received

  • Check spam/junk folder
  • Verify email address spelling
  • Resend the invitation
  • Try a different email address

Invitation links expire after 7 days:

  1. Original link won't work
  2. Go to Pending Invitations
  3. Resend to generate new link

Wrong Role Assigned

If you assigned the wrong role:

  1. For pending: Cancel and re-invite
  2. For active member: Go to member settings
  3. Change their role

Already in Another Workspace

A person can belong to multiple workspaces:

  • They accept and join yours
  • Can switch between workspaces
  • Each workspace is separate
