Access Link Settings
Configure view limits, expiration dates, and other settings for your access links.
Overview
Access link settings let you control how and when recipients can access your content. Configure these options when creating a link to match your use case.
Available Settings
Email Address
| Setting | Description |
|---|---|
| Field | |
| Required | No (but recommended) |
| Purpose | Identify the recipient for tracking |
Benefits of adding email:
- See who viewed in analytics
- Enable CRM syncing
- Better follow-up timing
- More actionable data
When to skip email:
- Anonymous testing
- Public distribution
- When recipient is unknown
View Limit
| Setting | Description |
|---|---|
| Field | Maximum views |
| Default | Unlimited |
| Range | 1 to any number |
How it works:
- Each time the link is opened, the count increases
- When limit is reached, link returns an error
- Refreshing the page counts as additional views
Use cases:
| Limit | Use Case |
|---|---|
| 1 | Single-view sensitive documents |
| 3-5 | Personal sharing with limited forwarding |
| 10-20 | Small team access |
| Unlimited | Ongoing access needed |
For most sales scenarios, leave unlimited or set a high limit (50+). You want prospects to re-read, not get locked out.
Expiration Date
| Setting | Description |
|---|---|
| Field | Expires on |
| Default | Never |
| Format | Date picker |
How it works:
- Link works normally until the expiration date
- On/after the date, link returns an error
- Time is midnight in your timezone
Common expiration strategies:
| Duration | Use Case |
|---|---|
| 7 days | Follow-up urgency |
| 30 days | Standard proposals |
| 90 days | Extended consideration |
| End of quarter | Time-bound offers |
| Event date | Conference materials |
Combining Settings
Create powerful access rules by combining settings:
Example: Exclusive Preview
Email: vip@client.com
Views: 5
Expires: In 7 days
Example: Team Access
Email: team@client.com
Views: 50
Expires: End of project
Example: One-Time View
Email: prospect@company.com
Views: 1
Expires: None
When Settings Take Effect
View Limit Reached
When a recipient reaches the view limit:
- Link stops working immediately
- Error message: "This link has reached its view limit"
- Analytics show the link status as "Limit reached"
- You can create a new link if needed
Expiration Reached
When a link expires:
- Link stops working at midnight on the date
- Error message: "This link has expired"
- Analytics show the link status as "Expired"
- You can create a new link if needed
Viewing Link Status
On the lead magnet detail page, each link shows:
- Active: Working normally
- Limit reached: Can't be used (view limit hit)
- Expired: Can't be used (past date)
- View count: X of Y (if limited)
Changing Settings
Settings cannot be changed after a link is created. This is by design for security.
To change settings:
- Create a new link with desired settings
- Share the new link with the recipient
- Delete the old link (optional)
Best Practices
For Sales
- Do set reasonable limits (not too restrictive)
- Do add expiration to create urgency
- Don't set 1-view limits (frustrates prospects)
- Don't expire too quickly (they might not see it in time)
For Sensitive Documents
- Do set view limits for confidentiality
- Do set expiration for time-sensitive info
- Consider who might forward the link
- Consider creating separate links per stakeholder
For Marketing
- Do track with email addresses
- Do leave unlimited for nurture content
- Consider expiration for seasonal content
Security Considerations
What Settings Don't Prevent
- Screenshots of content
- Downloading (if enabled)
- Sharing the link URL itself
- Viewing from multiple devices (each counts as a view)
For Truly Sensitive Content
If content is highly confidential:
- Use view limits
- Set short expiration
- Create individual links per recipient
- Monitor analytics closely
- Consider watermarking PDFs before upload
