Creating Access Links
Learn how to create shareable access links for your lead magnets to track individual recipient engagement.
Overview
Access links are unique URLs that let specific people view your lead magnets. Each link can be tracked individually, showing you exactly who viewed your content and when.
Creating a Single Access Link
Step-by-Step
- Open the lead magnet you want to share
- Click Create Access Link (or + New Link)
- Fill in the details:
- Email (optional but recommended): The recipient's email address
- View limit (optional): Maximum number of times this link can be used
- Expires (optional): Date when the link stops working
- Click Create Link
- Copy the generated link and share it
The Email Field
The email field is optional but highly recommended:
| With Email | Without Email |
|---|---|
| Know exactly who viewed | Anonymous tracking only |
| Shows in analytics by name | Shows as "Unknown" |
| Better for follow-up timing | Good for public sharing |
| Required for some integrations | Less useful for CRM sync |
Always add an email when sharing with a specific person. It makes your analytics much more actionable.
Link URL Structure
Generated links look like:
https://vavolta.com/v/abc123xyz
Or with a custom subdomain (Pro+ plans):
https://docs.yourcompany.com/v/abc123xyz
Each code is unique and ties to one access link.
Access Link Options
View Limit
Restrict how many times a link can be opened:
- Unlimited (default): Link works forever
- Set limit: Link stops working after X views
Use cases for view limits:
- Prevent excessive sharing
- Create urgency ("view within 3 opens")
- Control distribution
Expiration Date
Set when a link stops working:
- No expiration (default): Link works indefinitely
- Set date: Link returns error after the date
Use cases for expiration:
- Time-sensitive offers
- Event-related content
- Seasonal materials
- Trial/demo access
Combining Settings
You can combine view limit and expiration:
Example: 5 views OR expires Dec 31 (whichever comes first)
Managing Access Links
Viewing Links
From a lead magnet's detail page, see all access links with:
- Recipient email (if provided)
- View count
- Creation date
- Status (active, expired, limit reached)
Editing Links
Currently, access link settings cannot be edited after creation. To change settings:
- Create a new link with desired settings
- Share the new link
- Optionally delete the old link
Deleting Links
- Find the link in the list
- Click the ... (more) menu
- Select Delete
- Confirm deletion
Deleted links immediately stop working. Recipients will see an error message.
Sharing Access Links
Via Email
Copy the link and paste into your email:
Hi [Name],
Here's the case study I mentioned: [paste link]
Let me know if you have questions!
Via Messaging
Share directly in:
- LinkedIn messages
- Slack
- Any chat platform
Via CRM
Many CRMs let you include links in email sequences. Paste the Vavolta link like any other URL.
Tracking Views
After sharing, monitor engagement:
- Lead Magnet Page: See views per access link
- Analytics Page: See all views across lead magnets
- Notifications (if set up): Get alerted on views
What You'll See
- View timestamp: Exactly when they opened it
- Pages viewed: Which pages they looked at (PDF only)
- Time spent: How long they engaged
- Device info: Browser and platform
Best Practices
For Sales Teams
- Create link before the call: Have it ready to send
- Add their email: Always for tracking
- Set reasonable expiration: Creates urgency
- Follow up based on views: "I noticed you looked at pages 3-5..."
For Marketing Teams
- Use consistent naming: Note campaign in link description
- Track by campaign: Group links by purpose
- Monitor performance: Which content gets viewed longest?
For Agencies
- Organize by client: Use lead magnet names
- Set view limits: Prevent client over-sharing
- Track deliverable access: Prove content was received
Troubleshooting
Link Not Working
- Check if view limit was reached
- Check if expiration date passed
- Verify the lead magnet is active
- Ensure the link wasn't deleted
Recipient Can't Access
- Send them a new link
- Check if they're having browser issues
- Verify the link wasn't truncated in email
Views Not Showing
- Give it a few minutes (data syncs quickly but not instantly)
- Check the specific access link's view count
- Ensure they actually loaded the content (not just clicked)
