Sending Links via Email

Use Vavolta's built-in email feature to send access links directly to recipients.

Overview

Vavolta can send access links directly to recipients via email. This saves you the step of copying links and sending separately.

How to Send an Email

  1. Create an access link with a recipient email
  2. After creation, you'll see a Send Email button
  3. Click to open the email composer
  4. Customize the message (optional)
  5. Click Send
  1. Find the access link in your list
  2. Click the ... (more) menu
  3. Select Send Email
  4. Customize and send

Email Content

Default Template

The default email includes:

  • Subject line with your lead magnet name
  • Brief introduction
  • Button/link to access the content
  • Your name (from your profile)

Customization

You can customize:

  • Subject line
  • Introduction text
  • Call-to-action text

You cannot change:

  • The link itself (auto-inserted)
  • Sender email (from Vavolta)
  • Footer/unsubscribe (required)

Email Tracking

When you send via Vavolta:

  • Sent status: Confirmed delivery to email server
  • View tracking: Know when they click and view
  • No open tracking: We don't track email opens (privacy-focused)

When to Use Built-in Email

Good For

  • Quick one-off sends
  • Testing links before campaigns
  • Following up immediately
  • When you don't have access to email tools

Consider Alternatives When

  • Sending to many recipients (use your email tool)
  • Need branded templates (use your marketing platform)
  • Want email open tracking (use dedicated email tools)
  • Part of automated sequences (use CRM)

Email Deliverability

Emails are sent from Vavolta's verified domain:

  • High deliverability rates
  • SPF/DKIM configured
  • Professional sender reputation

However, for best results with large volumes, use your own email platform with Vavolta links.

Best Practices

Subject Lines

Keep them clear and relevant:

  • "Your requested guide: [Lead Magnet Name]"
  • "[Name], here's the case study we discussed"
  • "Resource: [Topic]"

Message Content

Keep it brief:

  • Reference your conversation/context
  • Explain what they'll find
  • Clear call-to-action
  • No need to repeat the link

Timing

  • Send during business hours
  • Follow up if no view after 2-3 days
  • Don't over-send

Tracking Sent Emails

View email history:

  1. Go to the lead magnet
  2. Click on an access link
  3. See "Email sent" status with timestamp

Troubleshooting

Email Not Received

  • Check recipient's spam folder
  • Verify email address is correct
  • Wait a few minutes (delivery isn't instant)
  • Try resending once
  • Verify the lead magnet is active
  • Check link hasn't expired
  • Check view limit hasn't been reached
  • Create and send a new link
